The BID LISTING & GENERAL INFORMATION included in this file lists all bids for the current year. It includes the following information:
  1. REQUESTED COMMODITY / SERVICE
       A brief description of the products and/or services being requested.
  2. BID NO.
    A consecutive number designating the date and order that the bid is due. It is comprised of:
    -1 digit representing the year ( 6 is 2006)
    -3 digits representing the day of the year (068 is the 68th day of the year or March 9)
    -2 digits representing the chronological order due times on that date (03 represents the third receipt time on that date) BIDS WILL NOT BE RECEIVED AFTER THE ADVERTISED DUE DATE AND TIME.
  3. INFORMATION SOURCE
    Source for bid documents including instructions to bid, submittal forms, specifications, plans, etc. For construction or maintenance bids (requiring Public Works licensure) they are generally available from the architect or construction manager for a refundable fee and may be viewed at local plan rooms.

    For personal property bids they are generally posted to this web site or available for pick up at the District Administration Office.
  4. BID DUE DATE AND TIME
    Sealed bids must be received at the District Administration Office AND STAMPED BY THE RECEPTIONINST WITH THE DATE AND TIME RECEIVED no later than his day and time or they can not be considered. Bids received early are stamped and saved UNOPENED until the due date and time.
  5. PUBLIC OPENING AND READING
    Bids which are to be publicly opened WHEN DUE are so noted. Requests for Proposals (RFP) and Requests for Qualifications (RFQ) require evaluation of the submissions and are not publicly opened. Bids for which a large response and numerous attendees are anticipated may be held after the due date at another location. Further information is included in the Bid Notice or Ad for Bid.

BID INFORMATION ON THE WEB SITE includes:

  • BID NOTICE or AD FOR BID
    • This lists the information required for vendors including
      • Commodity or service requested
      • Due date and time
      • Instructions on whom to contact for bid documents and information
      • Bonding and Licensure requirements
    • The Ad for Bid will be published in the LEGAL NOTICE section of the Idaho Statesman in accordance with Idaho Statutes
  • BID PACKAGE (for personal property bids not requiring drawings)
    • All necessary instructions, specifications and forms necessary to submit a bid
    • A label to be attached to sealed bids includes required information
  • BID RECAP OR BOARD RECOMMENDATION
    • This is a preliminary listing of bidders and their bids.
    • Bid results are not final until bids are reviewed for completeness and correctness, licensure and bid security are verified and the Board of Trustees approves the recommendation of the purchasing department.

The majority of bid requests is issued during the months of March, April, and May.
